Transaction Coordination

When a transaction is under contract, I will: 


  • Coordinate file opening with the title company and handle all documents securely.


  • An introduction email will be sent, providing a timeline of deadlines and a copy of the executed contract to the coop agent, buyer agent, buyer/seller (Your client as appropriate), lender, and title company.


  • Ensure everything is fully executed with dates, initials, signatures, and the broker information is completed. 


  • Submit all required contract documents to the broker for compliance.


  • Send/request disclosure packages and gather signatures if needed. 


  • Ensure the lender, title company, and broker receive any amendments or changes to the contract. 


  • Verify the EM deposit and obtain a receipt. 


  • Verify inspection date and time. Ensure all parties have received reports to review if applicable. 


  • Keep in contact with the title company and lender throughout the transaction. Provide agent email updates on the transaction status to keep you informed. 


  • Update deadlines due to any changes in the contract. 


  • Collect HOA documents per deadlines and email them to the buyer agent (if on the listing side) or to the buyer (if on the buying side). 


  • Order Home Warranty per contract if needed. 


  • Order HOA documents if needed. 


  • Confirm that the inspection has been set up per the offer deadline. 


  • Monitor appraisal timeline and completion with the lender. 


  • Coordinate and monitor buyers' loan status with the lender. 


  • Ensure your buyer/seller is provided a copy of all documents. 


  • Remind agent to draft Commission Disbursement if applicable. If TC is completing the CD request, the form MUST BE approved by the agent before submitting it to title and compliance.


  • Upload all disclosures, documents, and reports to the agent's online transaction management service as they are received or fully executed throughout the transaction (if applicable).


  • Maintain constant contact with all parties for status updates and outstanding items. 


  • Verify title has all required documentation. 


  • Conduct a final file audit before closing to ensure all documents are uploaded and the file is complete. 


  • Coordinate and confirm the final walk-through. 


  • Schedule the closing for the client and agent and send a copy of the preliminary closing documents for review.


  • Keep track of post-closing occupancy if applicable.

BUYERS SIDE: 


  • Upload the buyer's agency agreement and all broker-required forms for compliance. 


  • Submit all executed contracts, counter-proposals, and addenda (if applicable) to the lender. 



  • Arrange EMD pick up/ remind the buyer to wire as necessary. 


  • Upload all forms and addenda for compliance.


  • Follow up on repairs and receipts from the inspection.


  • Give utility contact info and remind the buyer to transfer utilities. 


  • Coordinate Key transfer upon closing or at the end of post-closing occupancy.


  • Coordinate Closing Gift per agent instructions. (if needed).


  • Send an email to your client asking for a review on Zillow or your preferred site.



SELLERS SIDE: 


  • Upload the Listing Agreement and all broker-required forms for compliance. 


  • Follow up signatures of all documents. 


  • Upload all forms and addenda for compliance. 


  • Follow up on repairs and receipts from the inspection. 


  • MLS Data Input to ccs, accepting backup offers, pending, and closed. 


  • Coordinate Closing Gift per agent instructions. (if needed) 


  • Order For sale sign down. 


  • Coordinate removal of any staging furniture. 


  • Send an email to your client asking for a review on Zillow or your preferred site. 



Agent Expectations 


Review preliminary title reports. Review title commitments and settlement statements. Negotiate repairs and any changes to the contract. Advise the client of any contingency timeline removals (we will remind all parties of the dates and timeframes in the introductory email). If TC is drafting documents, the agent will review them before sending them to the client (if applicable). 


Fee Schedule 


  • Listing or Buyer Side: $295.00
  • Dual Transaction: $375.00


Paid at closing according to TC Support Service Agreement.


Special Project Work: $30 hr paid upon completion. 


Prelisting Coordination

Setup New Listing File 


  • Complete listing file creation in the agent's preferred software.


  • Add client to agent's CRM database.


  • Fill out listing documents and send them to the client along with any required disclosures for signatures.


  • Order preliminary title.


  • Add listing info into the MLS (agent fills out listing comments/description).


  • Order for sale sign.


  • Assign lockbox to MLS listing.


  • Ask the seller to make copies of house keys for the lockbox.


  • Schedule a stager for consultation.


  • Schedule a photographer for the photoshoot once the house is staged.


  • Order for sale sign.


  • Input listing into the MLS incomplete.


  • Have the listing agent edit or approve MLS input before going live.


  • Email the seller a copy of the listing.


  • Add required documents, such as the disclosures,  to the MLS.   


  • Add all listing documents, disclosures, and other required documents to the broker’s online compliance management software, ensuring the file is complete.
